Scheduling add-on · $360/year per agency

Employee Scheduling Made Easy for your Department

The scheduling add-on is for agencies that already have site access. Build the shifts, let members take open positions, and keep trades, extra hours, and time off on the same calendar the station is looking at.

The calendar

Month, week, and day on a desktop. Day and month on a phone. Members see the shift they are assigned to.

  • More than one schedule for the agency, each with its own day start, shifts, and active flag.
  • Positions members are allowed to work, maintained by the agency administrator.
  • Open positions show a Signup button. Signups are in 15-minute steps.
  • Scheduled time, blocked time, extra hours, and requests waiting for approval each have their own color.
  • Export a date range as a CSV file or an ICS calendar file.
  • A station dashboard for the bay: who is on duty, who is coming on next, agency messages, the weather, and a live clock.
Example week. Navy is scheduled time, green is an open position, gold is waiting for approval, purple is approved extra hours, and gray is blocked time.

Requests members can make

Extra hours, time off, and trades stay with the person and the shift they belong to. An administrator approves before the change is final.

  • Extra hours requests stay off the schedule until an agency administrator approves them. A count of requests waiting for approval shows in the menu.
  • An extra hours kiosk at the station. A member signs the request with the same password they use to log in.
  • Time off requests from the schedule.
  • Shift trades. Offer your hours, accept a giveaway, or accept a swap by choosing the hours you will give back. An administrator approves the trade.
  • Time card approval for each pay period, with a reminder on the schedule when a card is waiting.

Shift rotations

Fill a repeating pattern once, look at the month it will create, and then write those shifts onto the schedule.

  • Recurring rotations with a color label, such as Gold or Black, that shows on the calendar.
  • A month preview before the rotation is added.
  • Blocked time can be part of the same rotation.

Reports for payroll

Every report below prints and exports to CSV.

  • Employee list.
  • Scheduled time, grouped for payroll. Overtime can be left out, calculated as weekly 40 hours with weeks starting Sunday, or calculated per pay period for an FLSA 7(k) schedule. Pay types can be marked so they count toward overtime.
  • Extra hours, including who requested them and who approved them.
  • Trades, including who offered, who accepted, and who approved.

What you need first

  • Site access for the agency. The add-on is sold only with site access.
  • An agency administrator to create schedules, positions, and rotations, and to approve requests.
